We take your privacy seriously up here in the Yukon - no corporate nonsense, just straight talk about how we handle your info
Look, we're just a shop in Whitehorse trying to keep your ride running through -40°C winters. We're not tech giants mining your data for profit.
This policy explains what info we need to do our job right and how we keep it safe. We've been doing business in the Yukon for years, and trust matters more than anything out here. So here's the honest rundown on what happens with your personal stuff when you work with us.
When you bring your vehicle to us or reach out, we'll collect:
We don't ask for anything we don't actually need. No social insurance numbers, no weird personal questions - just what's relevant to keeping your vehicle arctic-ready.
Here's the deal with what we do with your info:
To actually do the work you're paying us for - diagnostics, repairs, maintenance. Can't swap your winter tires without knowing whose truck it is
Calling or texting when your vehicle's done, sending appointment reminders, following up on warranty work
Might shoot you a message when winter's coming if you haven't done your block heater or tire swap yet. It's for your own good up here
Maintaining service history for warranty purposes and to track what's been done to your vehicle over time
We won't spam you with marketing junk unless you specifically ask for it. We're mechanics, not marketers.
Modern vehicles are basically computers on wheels, and when we plug into your OBD-II port for diagnostics, we get a ton of data:
This data stays in our system linked to your vehicle's service file. We use it to diagnose problems, track patterns, and figure out what's gonna fail next before it leaves you stranded on the Alaska Highway at -35°C.
Note: We don't track your driving habits, GPS locations, or anything creepy like that. We're not interested in where you've been - just whether your engine's gonna survive another Yukon winter.
We're pretty protective of your info, but there are a few situations where we gotta share it:
Sometimes we need to give them your vehicle details to order the right part. They don't get your personal contact info though
If you've got warranty work, we might need to share service records with manufacturers or warranty companies. That's just how warranties work
Credit card transactions go through our payment processor. They're PCI compliant and all that secure stuff
If the law says we gotta hand over records - like for insurance claims or legal disputes - we will. But only what's legally required
What we DON'T do: We don't sell your info to marketing companies, we don't share it with random third parties, and we definitely don't give out your contact details to anyone who asks. Your business is your business.
We take security seriously, even if we're not some big corporate chain. Here's what we do to keep your data safe:
Secure Storage
Digital records on password-protected systems, paper files locked up when we're closed
Limited Access
Only staff who actually need your info can see it. The tire guy doesn't need your credit card details
Encrypted Transmission
When we send stuff online, it's encrypted. Basic internet security stuff
Regular Backups
We back up everything so if something crashes, your service history isn't lost
Look, no system is 100% hack-proof, but we do our best to keep things locked down. If there's ever a breach, we'll let you know ASAP - that's the law and just common decency.
Our website uses a few cookies - the digital kind, not the ones with chocolate chips. Here's what they do:
We don't use advertising cookies or sell your browsing data. We barely have time to change oil filters, let alone build detailed marketing profiles.
You can turn off cookies in your browser if you want, but some stuff might not work right. Your call.
Under Canadian privacy laws (PIPEDA for you policy nerds), you've got some rights:
You can ask to see what info we've got on you. We'll show you within 30 days (usually way faster, but that's the legal timeline)
If we've got something wrong - like the wrong phone number or vehicle details - just tell us and we'll fix it
Want us to delete your data? We can do that, though we might need to keep some stuff for legal/tax reasons (7 years for tax records - blame Revenue Canada, not us)
Don't want seasonal reminders or service updates? No problem, just say so. We won't take it personally
To exercise any of these rights, just call us at (867) 555-0147 or email service@frostveilcitadel.info. We'll sort you out.
We don't keep your stuff forever. Here's our retention schedule:
| Type of Data | Retention Period |
|---|---|
| Service records | 7 years (for warranty and legal purposes) |
| Financial records | 7 years (tax law requirement) |
| Contact information | Until you ask us to delete it, or 2 years after your last visit |
| Marketing preferences | Until you change them or close your account |
| Website analytics | 26 months (Google Analytics default) |
After these periods, we securely delete or anonymize the data. Shredding paper files, wiping digital records - the whole deal.
